Job Responsibilities / Job Brief
- Answering and direct phone calls in a polite and professional manner
- Greeting and welcoming guests upon arrival at the office
- Managing conference room bookings and tidiness
- Handling incoming & outgoing mails and parcels
- Handling office replenishment for stationery, pantry supplies and company brand products, including sourcing, issuing POs and invoice settlement
- Overseeing the maintenance of office facilities, equipment, furniture & fixture
- Maintaining office security by following safety procedures and controlling access pass to the office
- Preparing business card
- Auditing expenses reports to ensure all reimbursements are in line with group T&E policies
- Providing administrative support to visitors and office events
- Performing ad-hoc projects as required
Requirements
- Diploma/ Degree holder in business related discipline or equivalent
- Minimum 3-5 years’ experience in Receptionist or office administration role in a sizable company
- Good command of spoken & written English and Chinese, conversational Mandarin
- Presentable with pleasant personality
- Good communication and interpersonal skills
- Self-motivated, independent, responsible and good team player
- Multi-tasking and time management skills with ability to prioritize tasks
- Immediate available or short notice preferred
